A Cold and Flu Season Cleaning Plan for Bozeman Offices

November in the Gallatin Valley brings short days, snow on the Bridgers, and a familiar wave of sniffles moving through the office. When everyone is indoors with the windows shut, the same few surfaces get touched hundreds of times a day. A sick day or two is normal. A whole team out the week before a deadline is a problem.

Good cleaning can't promise nobody gets sick. But a clear plan for the surfaces people actually touch, done on a set schedule, makes your building a lot less friendly to the bugs that go around every winter. Here is how we approach it for the commercial buildings we clean around Bozeman.

Start with the high-touch map

Every building has a short list of surfaces that most of the people inside touch every day. Walk your space and write them down. Most offices end up with something like this:

  • Entry door handles, push bars and the accessible-door button

  • Elevator buttons and stair handrails

  • Light switches in shared rooms

  • Break room fridge, microwave and coffee-maker handles, faucets and the water cooler

  • Conference-room tables, chair arms, remotes and shared keyboards

  • Copier and printer control panels

  • Restroom door hardware, flush handles, faucets, soap and towel dispensers

  • Front-desk counters, check-in tablets and shared pens

These are the spots that get extra attention in our winter office cleaning scope. Desks still matter, but the shared hardware is where one cold turns into five.

Clean first, then disinfect

This step gets skipped more than any other. Disinfectants work on a clean surface. A smear of coffee, hand lotion or road grime gets in the way and shields germs from the product. So the order is always the same: remove the soil, then apply a registered disinfectant and leave it wet for the full dwell time on the label. Wiping it off after a few seconds feels productive, but it often doesn't do the job.

Our disinfection services follow that order on every high-touch point, and we change cloths often so we aren't carrying germs from the restroom to the break room. Color-coded microfiber helps here: one color for restrooms, another for kitchens, another for general areas.

Set the right frequency

How often depends on how many people come through and who they are. A good rule for winter:

  • Busy shared points like entry doors, restrooms and break rooms: every service visit, with a midday touch-up for high-traffic buildings

  • Conference rooms and shared equipment: every visit, or after large meetings

  • Private offices and desks: on a regular schedule, with a reminder for staff to clear surfaces so they can be wiped

If you run a clinic, dental office or other healthcare space, the bar is higher. Our team is trained in bloodborne pathogens, and we sign HIPAA business associate agreements for medical office cleaning so your patient areas and records stay protected.

Don't forget the restrooms and the floors

Restrooms are the most obvious germ hot spot, but in winter they also take on extra moisture and grit from boots. Dispensers that run empty mean people skip washing, so keeping soap, towels and paper stocked counts just as much as the cleaning. We provide all supplies, so restocking is part of every restroom cleaning visit.

Floors matter too. Melting snow, magnesium chloride and sand get tracked from the parking lot onto hard floors and carpet. Wet entries cause slips, and that grit wears down finishes fast. Good walk-off mats, regular damp mopping and scheduled floor care like strip and wax, carpet extraction, or tile and grout cleaning keep winter from doing lasting damage.

Use products that work without the harsh smell

A building full of people with the windows closed is no place for strong fumes. We use the best available eco-friendly products, chosen to do the job without leaving a chemical haze in the air your team breathes all day. You can read more about our approach on our green cleaning page.

Give your team a few easy habits

Cleaning crews handle the building, but small habits in the office make a big difference:

  1. Put hand sanitizer at the entry, the front desk and the break room.

  2. Ask people to wipe shared keyboards and phones at the start of their shift.

  3. Encourage staff who are sick to stay home or work remotely.

  4. Keep tissues and lined trash cans in meeting rooms.

  5. Run the dishwasher daily instead of leaving mugs in the sink.

Plan ahead for the busy weeks

Between Thanksgiving, holiday parties and year-end deadlines, the next two months are when an outbreak hurts the most. Now is a good time to look at your cleaning schedule, add a midday restroom check, or add a deep clean of the break room and conference rooms to your contract before the season peaks.
